AI email automation for business: mail, 1C and CRM

Let an agent sort the inbox, not your manager

The agent reads email and chats, pulls out items, amounts and deadlines, and creates tasks and documents in 1C and the CRM. Anything doubtful goes to a person with a draft already prepared.

Your best people spend the day copying and pasting

  • Every morning a purchasing manager moves 30 supplier emails into 1C, line by line.
  • An order from a chat gets lost between shifts: nobody passed it on to the warehouse or the till.
  • An invoice waits a week for approval because nobody reminded the CFO.
  • Quotes are costed in Excel from memory, and two engineers get two different numbers.

What changes after launch

  • 01Emails and orders land in 1C and the CRM without retyping
  • 02Approvals stop stalling: the agent chases them
  • 03You can see who did what and where things are stuck

How the agent works

  1. 01

    Picks up what comes in

We connect a mailbox, a messenger or a website form. The agent reads the whole message along with attachments: PDF, Excel, scans.

  2. 02

    Works out what it is

Invoice, order, complaint or question. It extracts the fields: counterparty, items, quantities, amounts, dates. If something is missing, it asks instead of guessing.

  3. 03

    Checks your systems

It finds the counterparty in the CRM and the item in 1C, and checks prices and stock against rules we write down with your team.

  4. 04

    Creates the record

A task, an order or a document, with an owner and a deadline. Nobody has to open the email and retype it.

  5. 05

    Runs the approval

It sends the document to whoever signs off, follows up if they go quiet and records who approved what and when.

  6. 06

    Escalates the tricky ones

A new supplier, a large amount, an unclear email: the task goes to a person with a draft and a link to the source. Every agent action is logged.

Which scale is yours?

One task, three different projects. Pick the one that looks like you and press “I want this” — your request arrives tagged, and we send an estimate in 1–2 days.

Small business

common start

The routine runs through one mailbox or one chat, and one or two people deal with it.

What we build

  • One process, for example supplier orders from a shared inbox
  • Reading emails and attachments, extracting items and amounts
  • Writing to one system: CRM, 1C or a spreadsheet
  • Telegram alerts for the person in charge
  • Before/after measurement on real email traffic
Integrations
Email or a messenger plus one business system

Cloud
Timeline
Rough guide: 2–4 weeks to a pilot

Mid-size business

common start

The same data travels between purchasing, accounting and sales, and each team retypes it.

What we build

  • Two to four linked processes in one chain
  • Two-way sync between 1C and the CRM
  • Approval routes with reminders and escalation
  • A queue of tricky cases for staff
  • Roles: who sees what and who can approve
Integrations
1C, CRM, email, messengers, task tracker
Where it runs
Cloud or your own server
Timeline
Rough guide: 1–2 months, first working version in about a month

Enterprise

common start

A back office of dozens of people, several legal entities or branches, and a security team with requirements.

What we build

  • A chain of agents: extraction, checks, calculation, paperwork
  • Processes across departments with separate access rights
  • Audit log: what the agent did and who confirmed it
  • Quality monitoring and the share of cases handed to people
  • SLA-backed support after launch
Integrations
Several 1C databases, CRM, document management, internal APIs
Where it runs
Your servers or a closed environment with no data leaving it
Timeline
Rough guide: 2–3 months and up, rolled out in stages

Questions

What happens if the agent gets it wrong?

A mistake stays a draft. Anything touching money, stock or new counterparties needs a person to confirm by default. When the agent is unsure, it does not act; it creates a task for a person. Every action is in the log and can be reversed.

Who approves what the agent does?

You decide. At the start we agree where the line is: for example, the agent creates CRM tasks on its own but only drafts invoices and supplier orders for a manager to approve. Once the team trusts the output, the line can move.

Do we have to change 1C or our CRM?

No. We connect to what you already run: via API, 1C data exchange or file export. If a system has no way to accept data from outside, we will tell you during the estimate.

How is this better than a template-based bot?

A template bot breaks when a supplier changes the email format. An agent understands free text and tables in different layouts, so you do not have to force partners into a template.

Will our emails and contracts end up in someone else’s cloud?

If data cannot leave the company, we deploy the agent and the model on your servers, so emails never leave your perimeter. The architecture is designed for 152-FZ, and we work under NDA.

Where do we start and what does it cost?

With the one process that eats the most hours. A pilot starts at RUB 300,000. We price the exact scope by task and hours after a 1–2 day assessment. Send a couple of typical emails and tell us where they get copied to today.
